For HVAC Contractors

HVAC software that answers the phone while you're on the job.

Missed-call text-back, an AI receptionist that books after-hours no-heat calls, dispatch, estimates and invoicing, in one place.

Built around the calls you cannot answer

An HVAC company loses work in the twenty minutes between a homeowner calling and someone calling back. Most of this product is aimed at that gap.

Missed-call text-back

A call you cannot take from a roof or a crawlspace gets an automatic SMS with your booking link, so the homeowner has an answer before they dial the next company.

After-hours AI receptionist

Answers by chat and text around the clock: what you charge for a diagnostic, whether you cover their town, how soon you can get there, and books the visit.

Dispatch board

Assign jobs to techs by availability and proximity, move them as the day changes, and see status without calling each truck.

Estimates and invoices

Build an estimate on site, turn the approved one into an invoice, and collect payment through Stripe without a second trip or a paper book.

Address and access notes

Gate codes, dog in the yard, unit round the back, where the panel is. Captured at booking and attached to the job, so the tech is not phoning the office.

On-my-way texts

One tap sends the homeowner an ETA. Fewer "is anyone coming?" calls into the office during a heat wave.

Seasonal maintenance visits

Recurring appointments every three, six or twelve months, so a spring and autumn tune-up plan is booked once and sits on the calendar.

The first company to respond usually gets the job.

When a furnace quits in February, the homeowner is not shopping on price. They are working down a list until somebody picks up. Your techs are the reason nobody does: the calls arrive while your people are in an attic, under a house, or on a roof with a meter in one hand.

Servegalo answers in that window instead. A missed call gets an immediate text with a booking link. The AI receptionist handles the questions that come before a booking, covering diagnostic pricing, service area, and how soon you can be there, then puts the visit on the schedule. Nobody in the office has to be free for either to happen.

Once the job exists, it runs on a dispatch board rather than a whiteboard: assign it, move it, send an ETA, write the estimate on site, and turn it into a paid invoice before the truck leaves. The homeowner's history, equipment notes, and past visits stay on their record in the CRM.

Maintenance plans book as a recurring visit every three, six or twelve months, so the spring and autumn tune-up is one booking at signup rather than a note in a calendar. What is not there yet is the agreement as a billable product: recurring revenue for the plan itself, and the reporting that goes with it.

HVAC questions

What happens to a no-heat call at 11pm?

The AI receptionist answers by chat or text, collects the address and the symptom, tells the homeowner your after-hours policy, and books the first slot you have open. If the call goes to voicemail instead, missed-call text-back replies immediately with a booking link. Neither replaces a human on a genuine emergency, but both stop the lead going to whoever answers first.

Can it handle maintenance agreements and seasonal tune-ups?

Yes. A recurring visit can be set to every three months, every six months, or once a year, so the standard spring and autumn tune-up plan books as one series at signup. Servegalo books about a year of visits ahead and the customer rebooks from there; it does not yet sell or track the agreement itself as a product with its own billing.

How does dispatch work when a job runs long?

Jobs live on a dispatch board rather than a fixed calendar. Reassign a job to another tech or move it later in the day, and the homeowner can be sent an updated ETA from the same screen.

Do estimates become invoices?

Yes. An approved estimate converts to an invoice, and payment is collected through Stripe. Deposits can also be taken at the time of booking, which is the usual way to protect a diagnostic visit slot.

Can we limit how far out of town we travel?

Yes. Set a service radius and a list of towns you cover. Homeowners outside the area are told before they pick a time instead of after you have routed a truck.
